  • Purpose of Role

    • To meet the needs of the servicein a way that values the dignity of the individual and promotes choice, respect, participation and independence.
    • To support the Registered Manager to maintain the registration standards as outlined by the Care Quality Commission, local authorities and internal requirements.
    • To support the recruitment team in ensuring compliance in line with legal and internal requirements.
    • Ensure that all compliance and monitoring systems are kept up to date.
    • To contribute to the overall development of the quality of the branch.
    • Promoting the company values of Respect, Quality, Innovation, Collaboration, and Integrity to ensure best practice.

    Responsibilities

    Administrative Tasks

    • Support the Registered Manager and wider team for CQC, local authorities and internal inspections.
    • Ensure files are archived accurately and timely.
    • Provide administration support for service teams and managers.
    • Order stationery, PPE and other office sundries in line with operational requirements and budgets.

    Compliance

    • Ensure staff files are compliant and take appropriate action to maintain compliance by running reports from You Manage and using Live Monthlies Report.
    • Support the location with supervision paperwork preparation.
    • Support in ensuring all supervisions are recorded on governance system.
    • Support in ensuring all staff training is booked, attendance and refresher training are monitored, and concerns are raised.
    • Support, monitor and conduct Health & Safety audits where required.
    • Record audits, actions required and completed, and upload documents.

    Communication

    • Report any concerns to the Branch / Registered Manager.
    • Record all compliments and complaints received and inform the manager.
    • Take notes or minutes in meetings and share as required.

    General

    • Contribute to own supervision and appraisal in line with organisational requirements.
    • Undertake any training deemed necessary to carry out the full requirements of the post.
    • Attend team meetings as required.
    • To ensure the health, safety and welfare of yourself and others at all times by ensuring your actions are in line with all training, policies, procedures and risk assessments.
    • To report all health, safety and welfare concerns about service users or staff to your line manager in a timely manner.
    • Abide by all policies and procedures, legislation and guidance to ensure Quality Assurance standards are met.
    • Carry out any other duties that may be required appropriate to the level and nature of the post.

    • Excellent IT skills.
    • Ability to develop and maintain effective working relationships with service users, staff and circle of support.
    • Ability to communicate effectively both verbally and in writing in a clear, concise and accurate manner.
    • Ability to analyse information to produce accurate and timely reports.
    • Good problem-solving ability.
