At Swanton Care & Community, we're looking for an enthusiastic and proactive Administrator to join our Supported Living office in Hull. This is an exciting opportunity to play a key role in supporting our operational teams, recruitment processes, compliance management, and employee administration while making a real difference to the lives of the people we support.
No two days will be the same. From coordinating interviews and onboarding new team members to supporting compliance audits and managing office activities, you'll be at the heart of the operation.
What You'll Be Doing
As a vital member of our Central East Team, you'll help us attract and welcome talented people into our organisation by:
- Advertising vacancies across recruitment platforms
- Processing applications and supporting candidate communications
- Arranging and conducting interviews
- Completing right-to-work, DBS and pre-employment checks
- Preparing offer packs and new starter contracts
- Organising induction paperwork and onboarding documentation
- Creating and maintaining employee personnel files
- Coordinating shadow shifts, training schedules and new starter rotas
You'll support the employee lifecycle by:
- Maintaining accurate and compliant personnel records
- Processing new starter and leaver documentation
- Monitoring DBS renewals, training and qualifications
- Recording annual leave, sickness and other absences
- Supporting rota administration when required
- Preparing payroll information including hours worked, training, absence and bonuses
- Producing reports and maintaining employee records
- Compliance & Quality Support
You'll play an important role in helping us maintain high standards by:
- Supporting compliance with CQC requirements
- Managing training, supervision and DBS trackers
- Preparing documentation for audits and inspections
- Assisting with quality assurance processes
- Ensuring confidential information is stored securely
- Supporting GDPR and data protection compliance
- Office Coordination & Administration
You'll be the friendly face and efficient organiser that keeps everything running smoothly by:
- · Managing incoming calls, emails and correspondence
- · Welcoming visitors and professionals to the office
- · Coordinating meetings, appointments and room bookings
- · Taking meeting minutes and following up on actions
- · Managing office supplies and resources
- · Coordinating contractors, maintenance visits and repairs
- · Maintaining electronic and paper filing systems
- · Providing administrative support to managers and senior leaders
About You
We're looking for someone who is:
- Highly organised with excellent attention to detail
- Confident communicating with people at all levels
- Able to manage multiple priorities and deadlines
- Experienced in administration, recruitment, HR support or office coordination
- Competent using Microsoft Office applications
- Professional, trustworthy and able to handle confidential information
- Proactive, positive and keen to contribute to a supportive team environment
